From Empty Account to Parents Ordering Prints
Seven steps take you from signing up to families browsing their photos. Most of them happen before you ever pick up a camera—which is exactly the point.
School photography isn't hard work so much as it is repetitive work. Naming galleries. Matching faces to names. Copying links into emails. Classroom Captures automates the repetitive parts and leaves you the part you actually signed up for: photographing kids.

The Seven Steps
Connect Your SmugMug Account
You keep your SmugMug account and everything in it. A one-time OAuth connection lets Classroom Captures create folders and galleries on your behalf—your credentials are encrypted with AES-256, never stored in plain text, and you can disconnect whenever you like. More on the SmugMug integration.
Import Your Student Roster
The school sends a spreadsheet; you upload it. Columns can be in any order—Classroom Captures auto-detects school, student name, grade, teacher, and parent email, and lets you map anything it doesn't recognize. From that single file it builds your entire hierarchy: district, school, grade, teacher, student. Review the data, fix typos, add the kid who enrolled last Friday. Print QR Photo ID Cards
Generate a printable sheet of ID cards—one per student, each carrying a unique QR code tied to that student's record. Print them, cut them, sort them by teacher, and hand the stack to the classroom aide. This is the last piece of paper you'll touch all day.
Shoot Picture Day
Photograph the student's QR card, then photograph the student. That's the entire change to your process. No verifying spelling between subjects, no scribbled frame numbers, no separate log to reconcile later. Shoot at your normal pace and let the codes carry the identity information for you.
Scan and Auto-Sort
Back at the studio, load the card and click scan. The enhanced scanner reads each QR code and assigns every photo that follows it to that student—until the next code appears. It scans multiple regions and scales, so off-center or awkwardly lit codes still get caught. Then you review thumbnails grouped by student, reassign any strays from a dropdown, and you're done. Push Galleries to SmugMug
One click creates the full folder structure and every individual student gallery—District → School → Grade → Teacher → Student—with your privacy settings, your pricing templates, and a unique gallery code per family already applied. Large districts are split into batches automatically and processed in the background, so you can close the browser and come back to finished galleries. More on bulk gallery creation.
Email Parents Their Gallery Codes
Because parent emails came in with the roster, the notification step is already set up. Send branded, personalized "photos are ready" emails containing each family's own gallery code, in one batch, without exporting a list or logging into another platform. Parents enter their code at Find Your Photos and land straight in their child's gallery.

Your Checklist
A SmugMug account
Any plan that supports galleries and print sales. Yours stays yours.
A roster spreadsheet
School, student name, grade, and teacher at minimum. Parent emails if you have them.
A printer
Standard letter paper is fine for QR ID cards. Cardstock if you're feeling fancy.
Your existing camera setup
No special hardware, no tethering requirement, no proprietary anything.
How Long Does It Actually Take?
The first-time setup—connecting SmugMug, adding your logo, importing your first school—takes about fifteen minutes, and a guided walkthrough handles it the first time you log in.
After that, the per-school work is roster import and card printing before picture day, then scanning and gallery creation after. A school of several hundred students typically means minutes of your attention on each end, with the heavy processing running in the background on its own.
What Parents See
Parents get an email with a gallery code, enter it on your site, and see only their own child's photos. No account creation hurdle, no shared link floating around a class group chat, no browsing other families' galleries. Ordering happens through SmugMug's normal checkout, with professional lab printing and your pricing.
What Happens Next Year
Your districts, schools, and structure are already there. Import the new roster, print new cards, and go. The system tracks which students have galleries and which don't, so returning to a school you shot last spring means picking up where you left off rather than rebuilding from scratch.
